Use this guide to manage who can join your club and who can help administer it.
Membership Access Modes
Club settings control how people join:
- public: people can join directly if the club allows it
- private: people need an invite link or email invite
Private access gives the club more control. Public access reduces admin work for clubs that accept open membership.
Invite Types
TrackLedger supports:
- email invites for a specific person
- reusable invite links for broader distribution
Invites can add someone as a member or give them admin access, depending on the role selected by the sender.
Paid Membership Invites
If the club charges for membership, invite acceptance can include a payment step. The app shows the available payment options based on the club billing settings.
After payment, the membership page should show the updated status. If a member has paid but still cannot access the club, check the payment provider used and whether the membership confirmation finished.
Member Billing Setup
Before using paid membership, confirm:
- membership price is set
- at least one provider is configured
- the provider account belongs to the club
- admins know how to help members after payment
Membership Lifecycle
The members area helps you review:
- active memberships
- expiring memberships
- expired memberships
- lifetime memberships
- admin role assignments
Keep admin access limited to people who need it for club operations.
Common Admin Tasks
Invite a new member
Open the members area, create an invite, choose the role, and send the link or email.
Add or remove admin access
Use the member record to update roles when responsibilities change.
Help a member who cannot join
Check whether the club is private, whether the invite is still valid, and whether any payment step is unfinished.
